Set up your childcare center: rooms, staff and families

Modified on: Thu, Oct 29, 2026, 7:39 AM

Set up your center in Bloomz: create a room for each age group, add your staff, and bring in your families. Once your first childcare room exists, your center's childcare tools switch on by themselves.

Who this is for

Center directors and office staff with admin rights.

Step 1 — Check your center's details

Open your center from Centers in the left rail and select the gear (Settings) at the end of the toolbar. On General, check the name, short name, address and contact details.

To add your logo and a cover photo, go back to the center's feed and select the camera icons on the cover.

Step 2 — Create your rooms

  1. In the left drawer, next to ROOMS, select + Add, then Create new class/group.
  2. Under Select Group Type, choose Childcare Room. For a before- or after-school program, choose Afterschool Care under Other Group Types.
  3. Type the Childcare Room Name, for example "Toddler Room". To add several at once, select + Add Another Childcare Room.
  4. Check the room options, such as Daily Activity Sheets and Parent-Parent Communication, and select Save.

Your rooms then show in the drawer under ROOMS and AFTERSCHOOL CARE.

Step 3 — Add your staff

  1. On the center's toolbar, select the Manage icon (people), then the Staff tab.
  2. Select + Staff. Pick the room or the center they work in, then their role.

Step 4 — Bring in your families

The quickest way is a roster file. See Move your center's records from Brightwheel to Bloomz, which works for any spreadsheet. You can also add children and parents one by one:

  • On Manage → Students, select + Student and choose Add a New Student by Name, Bulk Paste Student Names/SIS IDs or Add Student Roster.
  • On Manage → Parents, select + Parent to invite by email or phone, or share the center's access code.

The Parents tab shows who is Registered, Invited, Pending Approval or Imported. An imported or invited parent has not signed in yet and does not get posts or messages until they do.

Step 5 — Share the access code

Select the key icon on the center (or on a room), then For Parents. Families who download Bloomz and enter the code join and are linked to your center.

FAQ

  • Some screens say "class" or "student". Bloomz serves schools too. In a childcare center, a class is a room and a student is a child.
  • A staff member cannot see a room. Add them to that room from Manage → Staff.
