Move your center's records from Brightwheel to Bloomz
If your center used Brightwheel, you can bring your children, families, pickups and health records into Bloomz yourself, from the files Brightwheel lets you export. Bloomz checks every row and shows you a preview before anything is saved. The same importer reads Procare, Lillio (HiMama) and Kangarootime files.
Who this is for
Center directors moving a center to Bloomz.
Before you start
- Export from Brightwheel while your account is still active: the roster export (children, birth dates, rooms, allergies and medications, parents, approved pickups and emergency contacts), the contacts report, and the student balance history for billing.
- Turn on Health Profiles for your center if you want allergies, medications and immunizations to come across.
- You do not need to create rooms first. A room named in the file is created if your center does not have it yet.
Step 1 — Open the importer
Open your center, select the gear (Settings), then Bulk Import. Open Bulk CSV Import, choose Parent/Student upload, and select Prepare & Validate. The wizard has four steps: Upload, Match columns, Review & fix and Confirm.
Step 2 — Upload the roster
- Under Where is this file from?, choose Brightwheel export (or Procare, Lillio (HiMama) or Kangarootime).
- Select Choose a File to Upload and pick the roster file. It must be a CSV file.
Step 3 — Match the columns
Bloomz matches Brightwheel's column names for you: child, parents, pickups and emergency contacts. Check each one. A column it does not know shows "Not mapped - this column will be ignored"; pick a field for it or leave it.
Watch out: if the next step shows a red message such as "is not a Valid Header", delete that column from your file and upload it again.
Step 4 — Review and fix
Bloomz checks every row and says how many are ready and how many need attention. Fix a row in the table, then select Re-check. When every row is ready, select Continue and confirm the import.
Rules the importer follows:
- Children who are not enrolled (withdrawn, graduated, waitlist) are skipped.
- Running the same file again does not add anyone twice.
- An allergy with no severity is saved as moderate. Check every imported allergy.
- Health details staff already entered are never overwritten.
Step 5 — Add the contacts report
Upload Brightwheel's contacts report the same way. Extra pickups and emergency contacts are added to the children already imported.
Step 6 — Bring billing across
Import opening balances, tuition plans and past invoices from Payments. See Bring your billing across from Brightwheel.
What families must redo
- Saved cards and bank accounts cannot move from Brightwheel, so each family sets up autopay again.
- Families sign in to Bloomz with their invitation or your center's access code.
- Messages, signatures and paperwork from Brightwheel do not move. Collect forms again in Bloomz.
- Check pickups and allergies with families on their first day.
Can I take my data out later?
Yes. See Export all of your center's data.
