Charge an automatic late-pickup fee

Modified on: Thu, Oct 29, 2026, 7:23 AM

When a child is picked up after closing time plus your grace period, Bloomz works out the late fee by itself and puts it in your review list. You approve it or waive it, so the decision stays with you.

Who this is for

Center directors and billing staff. Parents: see "What the family sees".

Step 1 — Set up the fee

  1. Open your center, select the gear (Settings), then Payments.
  2. Scroll to Late pickup fee and switch on Charge a late pickup fee.
  3. Fill in:
    • Closing time, for example 6:00 PM.
    • Grace period, for example 10 minutes.
    • Fee per block, for example $15.00, and the Block length, for example 15 minutes.
    • Maximum per pickup (optional), for example $60.00.
  4. Select Save.

Do not confuse this with Late payment fees, a separate card for invoices paid after their due date.

How the fee is worked out

A pickup is late when it is after closing time plus the grace period. The fee is charged for every started block, counted from closing time. With a 6:00 PM close, 10 minutes' grace and 15-minute blocks of $15:

  • A pickup at 6:10 PM has no fee.
  • A pickup at 6:12 PM is one block: $15.
  • A pickup at 6:32 PM is three blocks: $45.
  • A pickup at 6:47 PM is four blocks, $60, which is also the maximum.

There is at most one late-pickup fee per child per day.

Step 2 — Approve or waive each fee

  1. On Payments, At a Glance, select Draft charges pending review.
  2. Each late pickup shows the child, "Picked up at" with the time and date, the minutes late and the number of fee blocks, and the amount.
  3. Select Approve to charge it, or Waive to drop it. When you waive, you can add a Reason (optional); it is kept for your records.

An approved fee becomes its own charge on the family's account, due in 7 days. Automatic discounts do not reduce it, and subsidies do not cover it.

What the family sees

Today Bloomz does not send the family a message about a late pickup. After you approve the fee, it appears as a charge in the family's Payments. If you want families to know at pickup, tell them at the desk or send a message.

FAQ

  • Which rooms does it apply to? Childcare and afterschool rooms. An afterschool program with its own end time uses that time instead of the center's closing time.
  • The fee was charged by mistake. Waive it before approving. After approval, void or refund it like any other charge.
